Administrative Assistant / Office Manager / Receptionist – PART TIME
We are looking for a part time person to work 2-3 days a week. It is anticipated to be a permanent part time position and not something that would eventually become full time, We are a smaller company of 10-15 people with several needs combined into 1 position. The position is a mix between an office manager, personal assistant, administrative assistant, marketing assistant, and receptionist. It will include digital file management, digital forms, specification preparation, outlook calendar management for multiple staff, paperwork, internal office organization, typing, phone reception, deliveries, front desk greeting, etc. The forms and specifications that are prepared need to be precise and accurate, so attention to detail is very important. The position will also have periods of down time, so someone who is self motivated to find additional things to do and other ways to contribute will have a better experience.
Prepare digital documents, including specifications, change orders, pay applications, meeting minutes, etc.
Planning, scheduling and managing of office and executive’s activities
Organize electronic copies of files and hard copies of paperwork
Learn specification preparation software
Make and receive deliveries
Manage calendars of other staff
Assist executives with different errands
Coordinate, communicate, and improve office standards
Assist in preparation of marketing materials and information
Receive and transfer phone calls
Manage front reception desk
Strong organizational skills
Typical office programs such as MS Word, Excel, Outlook, as well as PDF creation and modification software
Understanding and comfort with digital file management and organization
Good communicator and good attitude for customer service and client relations
Ability to learn industry specific software
Ability to teach self and learn independently, in addition to learning and working as part of a team
